Typical Duties & Responsibilities

Our Office Administrator/Receptionist provides effective and efficient administrative support to all areas of the business and helps information flow effectively between the parks and Head Office. You will be working closely with all departments at head office and on park to ensure that administrative processes are clear and adhered to in a timely manner. The role is key to ensuring that the administration side of the business runs smoothly and all visitors to Head Office are greeted in a warm and welcoming manner.

Some examples of the day-to day duties are:

  • Provide an excellent standard of customer service on the phone, acting as the first point of enquiry to incoming telephone calls; understanding the enquiry and ensuring that callers are transferred to the appropriate person or department in a timely, courteous and professional manner; taking accurate messages where appropriate and referring these to the right person with the appropriate level of detail.
  • Meet and greet visitors as the first point of contact when they arrive at reception
  • Maintain a professional reception at all times, ensuring that the desk and communal area is kept clear and tidy, that deliveries are collected by relevant teams and the entrance is generally well presented
  • Sort incoming post for distribution and process correctly. Frank the outgoing mail in time for the scheduled collection
  • Assist in the preparation of regularly scheduled reports.
  • General clerical duties including photocopying, scanning etc.
  • Maintain office facilities, including office stationery and kitchen supplies, and liaising with external suppliers for maintenance, cleaning, recycling etc.
  • Coordinate the booking and maintenance of the office meeting room facilities, liaising with colleagues as required to ensure room bookings are accurate or released when no longer required, and facilities are kept clean and tidy for use throughout the day.

Training and development is a key part of this role, we would highly encourage the successful applicant to complete a relevant apprenticeship qualification.

Skills & Experience Required

You will need to be friendly, confident and well organised with a professional telephone manner. Previous experience working in a busy office or reception is desirable but not essential as full training will be provided. Above all, you will need to have the right attitude.
